Inzovu Amber

Booking Terms & Conditions

Last updated: 15 October 2026

Thank you for trusting Inzovu Amber for your custom Rwanda experience! Every journey we create is private, all-inclusive, and tailored by you: one price, no surprises. These terms explain what you can expect from us, what we ask of you, and how we handle the unexpected.

By confirming a booking, you agree to these terms on behalf of yourself and everyone traveling in your party.

1. Who We Are

"Inzovu Amber," "we," "us," and "our" refer to two companies that work together to deliver your journey:

  • Inzovu Amber Ltd, a company registered in the Republic of Rwanda (TIN 124596784), licensed as a tour operator by the Rwanda Development Board under license no. RDB/TL/2026/04/TO/01013. This company operates your tour on the ground in Rwanda.
  • Inzovu Amber LLC, a Minnesota, United States-based limited liability company (MN file no. 1652573200024). This is the company you contract with. It accepts your booking, issues your invoices, and receives your payments.

"You" refers to the lead traveler and every person named on the booking.

2. Your Booking

2.1 Confirming a booking

Your booking is confirmed only when we have received your deposit (or full payment, where required) and sent you a written booking confirmation by email.

2.2 The lead traveler

The lead traveler must be at least 18 years old, has authority to accept these terms for everyone in the party, and is responsible for all payments under the booking.

2.3 Your details

Names must match passports exactly, because park permits are issued in each traveler's name and linked to their passport. Please check your confirmation and tell us about any error within 7 days. We are not responsible for costs caused by incorrect details you provided.

2.4 Flights

Airfare is not included. Please do not buy non-refundable flights until your booking is confirmed. We are not responsible for flight costs, delays, or missed connections.

3. Prices & Payment

3.1 What your price includes

Unless your itinerary says otherwise:

  • Private ground transportation in premium vehicles, beginning at Kigali International Airport
  • Premium lodging as listed in your itinerary
  • Meals and non-alcoholic beverages as listed in your itinerary
  • All activities, excursions, and guiding described in your itinerary
  • All entrance and permit fees associated with your itinerary
  • Emergency medical evacuation cover within Rwanda for the dates of your tour (see Section 8.2)

3.2 What your price does not include

Airfare; visas; travel insurance; alcoholic beverages; gratuities; personal expenses such as laundry, spa treatments, and shopping; optional activities; vaccinations and medical costs; and anything not expressly listed as included.

3.3 Deposit and balance

  • More than 45 days before arrival: 50% deposit at booking. Balance due 45 days before arrival.
  • 45 days or fewer before arrival: 100% at booking.

If the balance is not received by its due date, we may treat the booking as canceled by you and apply the charges in Section 4.2.

Some suppliers, including the Rwanda Development Board (RDB) for gorilla permits, require full payment at the time of booking. Part of your deposit is applied to these immediately.

3.4 Currency and payment methods

All prices are quoted and payable in US dollars. We accept Visa, Mastercard, and American Express, as well as PayPal and other secure payment options available at our online checkout.

3.5 Price guarantee

Once your deposit is received, your price is guaranteed, with one exception: if a government authority introduces or raises a fee, tax, or levy after you book (such as park fees, permit prices, or VAT), we may pass on that cost with written notice. If the increase is more than 10% of your total tour price, you may cancel for a full refund, less any non-refundable permits already purchased in your name.

Quotes are valid for 14 days and are subject to availability until confirmed.

3.6 Payment disputes

Please contact us before raising any payment concern with your bank. Disputing or charging back a payment that is due under these terms is a breach of these terms, and we will provide your booking records to the card issuer.

4. Cancellations & Changes by You

4.1 How to cancel

The lead traveler must cancel in writing by email to info@inzovuamber.com. Cancellation takes effect on the date we receive it.

4.2 Cancellation charges

  • 91 days or more before arrival: 25% (75% refunded)
  • 46 to 90 days before arrival: 50% (50% refunded)
  • 45 days or less before arrival: 100% (no refund)

4.3 Non-refundable items

The following are non-refundable once purchased, whenever you cancel. If their cost exceeds the charge above, the higher amount applies:

  • Gorilla permits and other RDB permits. Where RDB allows a permit to be rescheduled or transferred, we will try to arrange it, but we cannot guarantee it.
  • Third-party bookings with non-refundable terms, such as certain lodges, charters, or special events. We will tell you about these when you book.

4.4 Changes you request

Changes after confirmation depend on availability and may carry supplier charges plus an amendment fee of US$100 per change. Reducing the number of travelers or shortening the trip is treated as a partial cancellation. Changes within 45 days of arrival may be treated as a cancellation and rebooking.

4.5 Transferring your booking

You may transfer your place to another person who meets all itinerary requirements, with at least 30 days' notice. Permit transfers require RDB approval, and any fees are passed on to you. You and the new traveler are jointly responsible for any unpaid balance.

4.6 Unused services

There are no refunds for any part of the tour you choose not to use.

5. Changes & Cancellations by Us

5.1 Changes to your itinerary

Travel in Rwanda depends on weather, wildlife, road conditions, and park authorities, so we may need to adjust your itinerary. Where we do, we will substitute services of equal or higher standard.

If we make a significant change before departure, such as a lower lodge category or the loss of a headline activity, you may accept the change, accept an alternative with a refund of any price difference, or cancel for a full refund.

5.2 If we cancel

If we cancel for reasons within our control, you will receive a full refund of all money paid.

If we cancel because of a Force Majeure Event or a serious safety concern, we will offer new dates. If you prefer not to rebook, we will refund all money paid, less any non-recoverable third-party costs already paid on your behalf, with a breakdown of those costs.

Refunds are made within 30 days of the cancellation notice, to the original payment method. We are not responsible for costs outside your booking, such as flights, visas, or vaccinations.

5.3 Force Majeure

A Force Majeure Event is any event beyond our reasonable control, including natural disasters, severe weather, volcanic activity, epidemics, government action or travel advisories, park or border closures, war, terrorism, civil unrest, strikes, and airline disruption. We are not liable for any failure to perform caused by a Force Majeure Event. If one occurs during your tour, we will do everything we reasonably can to keep you safe and continue your journey. Any additional costs, such as extra nights, are your responsibility.

6. Permits & Park Rules

Gorilla permits and other park permits are issued by RDB under its own rules, which form part of your booking:

  • Minimum age: Gorilla trekking requires a minimum age of 15. Other activities may have their own age limits, which we will confirm when you book.
  • Illness: Park authorities may refuse entry to any visitor showing signs of illness. Permits refused for health reasons are not refundable.
  • Park rules: You must follow all ranger instructions and park regulations. Breaking them may result in removal from the activity without refund.
  • Availability: Specific gorilla families are assigned by rangers on the day and cannot be pre-booked.
  • Missed sightings: Where RDB's rules provide a retry or refund for a visitor who could not locate their gorilla family, we will pass that benefit on to you.

7. Health & Special Requirements

7.1 Fitness and health

You confirm that each traveler is in good health and fit enough for the activities in your itinerary, some of which involve trekking at altitude on steep terrain. You must tell us when you book about any medical condition, disability, or pregnancy that may affect your trip. We may decline or end a booking where we reasonably believe an activity would put a traveler's safety at serious risk, after discussing it with you.

7.2 Dietary requirements and allergies

Please tell us about dietary requirements and food allergies when you book, and no later than 30 days before arrival. We pass this information to every supplier on your itinerary and take every reasonable precaution, but because meals are often prepared in shared kitchens, we cannot guarantee an allergen-free environment. Travelers with allergies should carry any necessary medication, such as an epinephrine auto-injector, at all times.

7.3 Accessibility

Some activities, terrain, and properties have practical limits on accessibility. Please speak with us before booking so we can advise honestly on what is possible.

8. Travel Insurance & Evacuation

8.1 Insurance is required

Comprehensive travel insurance is a condition of every booking. Each traveler's policy must cover, from the date of booking until the end of the trip:

  • trip cancellation and curtailment for the full value of the trip
  • emergency medical treatment abroad
  • emergency evacuation and repatriation to your home country
  • the activities in your itinerary, including trekking at altitude

We recommend at least US$100,000 in medical cover and US$250,000 in evacuation and repatriation cover. By paying your deposit, you confirm that you hold, or will purchase, this cover. We may ask for your policy details before departure. Travelers without adequate insurance are personally responsible for all medical, evacuation, and repatriation costs.

8.2 Included evacuation cover within Rwanda

Overseas policies often cannot arrange rapid helicopter evacuation inside Rwanda, so every Inzovu Amber tour package includes emergency medical evacuation cover with a Rwanda-based provider for the dates of your tour. In an emergency, your guide calls the provider's 24/7 line, and a trained paramedic coordinates the fastest transfer to a medical facility. This cover:

  • applies to evacuation within Rwanda only, and does not replace your travel insurance
  • uses the fastest suitable method, which may be road or water ambulance (helicopters do not fly at night or in poor weather)
  • is valid for 14 days; journeys longer than 14 days require an additional 14-day extension, which we add to your booking
  • is not included with stand-alone permits, activities, or transfers booked separately
  • is confirmed before you travel with a policy number and emergency contact details, and on arrival you will receive an EMES voucher card to carry with you
  • where a helicopter cannot reach you, alternative emergency assistance, including road ambulance where possible, will be coordinated

9. Travel Documents

Each traveler is responsible for holding a valid passport (valid at least 6 months beyond arrival), visa, and any health documents required for entry to Rwanda and every country on their route. If you are refused boarding or entry because of missing or incorrect documents, the cancellation charges in Section 4 apply.

10. Laws, Rules & Conduct

10.1 Drones

Drones are not permitted on any Inzovu Amber tour. Flying a drone in Rwanda requires a Rwanda Civil Aviation Authority permit, and drones found in luggage may be held by customs until departure.

10.2 Plastics

Rwanda bans plastic bags and most single-use plastics. Banned items, including duty-free bags, may be confiscated on arrival.

10.3 Wildlife products and filming

Buying or carrying products made from wildlife is illegal. Commercial or professional filming in national parks requires an RDB permit in advance.

10.4 Local law

You must obey the laws of Rwanda at all times. We are not responsible for fines, confiscations, or other consequences of a traveler breaking local law.

10.5 Conduct

We may end a traveler's tour, without refund, if they endanger themselves, others, or wildlife; seriously disrupt the tour; behave abusively toward our team, partners, or communities; or break the law or park rules. Any resulting costs are the traveler's responsibility, as is any damage they cause to vehicles, lodges, or property.

11. Our Responsibility

11.1 Our standard

We will deliver your tour with reasonable skill and care.

11.2 Independent suppliers

Some services, such as lodges, airlines, RDB, and specialist activity providers, are delivered by independent suppliers under their own terms, which may limit their liability. We arrange these services as your agent. To the extent permitted by law, we are not liable for their acts or omissions.

11.3 Limits on our liability

To the fullest extent permitted by law:

  • We are not liable for loss, injury, damage, or delay not caused by our negligence or breach of these terms, including losses caused by you, an unconnected third party, or a Force Majeure Event.
  • We are not liable for indirect or consequential losses, such as lost earnings or missed connections.
  • Our total liability for any booking will not exceed the total price paid for that booking.

Nothing in these terms limits liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law, or removes rights given to you by the mandatory consumer laws of your home country.

11.4 Inherent risks

Travel in remote areas, trekking at altitude, and encounters with wild animals carry natural risks that cannot be fully removed. By booking, you accept these risks. Lodges and park authorities may ask you to sign their own waivers.

11.5 Luggage and belongings

Luggage should be kept within reasonable limits for safe travel; we recommend one medium-sized bag per person. You are responsible for your personal belongings throughout your trip. We advise against bringing valuables such as jewelry, large sums of cash, or expensive electronics. We are not liable for the loss, theft, or damage of personal items unless caused by our negligence.

To help you pack with confidence, we will send you our comprehensive pre-trip guide, with everything you need to prepare for your journey, from what to bring to what to expect each day.

12. Photography & Privacy

12.1 Photos of our guests

We will use photos or videos of you in our marketing only with your consent, which you can give or decline on your booking form. We will not use images of anyone under 18 without written consent from a parent or guardian. You may withdraw consent at any time by emailing info@inzovuamber.com, and we will stop using the images in new materials.

12.2 Your personal information

We collect only the information needed to plan and deliver your journey, such as contact, passport, dietary, and medical details, and share it only with the hotels, suppliers, and government authorities who need it to deliver your services. We will send you news, updates, or offers only with your permission. To update or delete your personal information, email us at info@inzovuamber.com. Our Privacy Policy at inzovuamber.com/privacy explains how we use and protect it.

13. Complaints

If anything is not right during your journey, please tell your guide immediately, or call us at +250 789 935 441 (Rwanda) or +1 612-230-0224 (US). We cannot address issues we were not told about during the trip.

If a concern remains unresolved, please write to info@inzovuamber.com within 30 days of your return. We will respond within 30 days.

14. Governing Law & Disputes

These terms and your contract with Inzovu Amber LLC are governed by the laws of the State of Minnesota, United States. Services delivered in Rwanda by Inzovu Amber Ltd, and your conduct in Rwanda, are also subject to the laws of the Republic of Rwanda.

We will first try to resolve any dispute in good faith. If it is not resolved within 60 days, either party may refer it to mediation before taking legal action. Legal proceedings concerning your booking or payments must be brought in the state or federal courts of Ramsey County, Minnesota. Matters that Rwandan law requires to be heard in Rwanda will be heard by the competent courts in Kigali. This section does not remove any right your home country's mandatory consumer laws give you to bring proceedings elsewhere.

15. General Terms

  • Entire agreement: These terms, your booking confirmation, and your final itinerary form the entire agreement. If they conflict, your booking confirmation takes priority.
  • Severability: If any part of these terms is unenforceable, the rest remains in effect.
  • No waiver: Not enforcing a right does not mean we have given it up.
  • Assignment: We may transfer our rights and obligations between Inzovu Amber LLC and Inzovu Amber Ltd, or to a successor business, without reducing your rights.
  • Notices: Notices must be sent by email to the address on your booking, or to info@inzovuamber.com for us.
  • Language: If these terms are translated, the English version prevails.
  • Updates: We may update these terms from time to time. The version in effect when your booking is confirmed applies to your booking.
